Before You Start Using AgriFAAS Connect

Complete these essential setup steps to get the most out of the platform.

⚠️ Critical: Chart of Accounts MUST Be Set Up First!

The Chart of Accounts is the foundation of the entire system. All modules (Inventory, Sales, Customers, Suppliers, HR) link to accounts. Without accounts, you cannot properly track finances. Complete this setup before adding other data.

Create farm operations, tasks, and transactions

1. Create Your Workspace Foundation

Navigate to Team page

Invite your core team members (Farm Manager, Accountant, Admin) with appropriate roles

Go to Admin → Modules

Enable/disable modules based on what your farm needs (Finance, HR, Agric Ext. Services, etc.)

Configure Workspace Settings

Set base currency, timezone, and date format for your region. For multi-currency operations, set up exchange rates in Finance → Advanced Tools.

2. Set Up Fields & Seasons

Create Fields/Plots

Go to Fields → Add Field. Enter name, size (acres), location, soil type, irrigation system

Create Seasons

Go to Seasons → New Season. Define planting periods (e.g., '2026 Main Season', start/end dates, budget)

Add Initial Crops

Go to Crops → Add Crop. Link to fields, set planting dates, expected yields

3. Finance System Setup (Critical)

Create Chart of Accounts

Go to Finance → Accounts. Use 'Standard Accounts Setup' for quick start OR manually create: Assets (Cash, Bank, AR, Inventory), Liabilities (AP, Loans), Equity (Owner's Capital), Income (Sales Revenue), Expenses (COGS, Labor Wages, Operating Expenses)

Set Up Customers

Go to Customers → Add Customer. Link each to AR account (or use default). Set payment terms

Set Up Suppliers

Go to Suppliers → Add Supplier. Link each to AP account (or use default). Set payment terms

Configure Inventory Accounts

Each inventory category needs asset account (for value) and expense account (for consumption). Set during inventory item creation

4. Inventory & Resources

Add Inventory Items

Go to Inventory → Add Item. Create records for seeds, fertilizers, pesticides, equipment. Set minimum stock levels and reorder points

Choose Valuation Method

For each item, select FIFO, LIFO, or Weighted Average based on your accounting standards

Link to Suppliers

Assign primary supplier to each inventory item for easy reordering

5. HR & Payroll Setup

Add Employees

Go to HR → Employees → Add Employee. Enter personal details, role, department, pay rate (hourly/daily/monthly) and overtime settings

Set Up Payroll Accounts

Create 'Labor Wages' (Expense) and a Cash/Bank (Asset) account in your Chart of Accounts. These are required to run payroll and generate journal entries automatically

Log Timesheets

After adding employees, go to HR → Timesheets → Log Hours. Select the employee, date, hours worked, and optionally link to a field or task. Use the month filter to view hours per employee per month

Approve Timesheets

Pending timesheets show Approve (✓) and Reject (✗) buttons in the Actions column. Approved timesheets are included in payroll calculations. Use the month/employee/status filters to review entries efficiently

Run Payroll

Click 'Run Payroll' in HR. Select the period, verify employee hours and gross pay, then process. The system auto-creates a journal entry (Dr: Labor Wages, Cr: Cash/Bank) and a Payroll Run record with a full employee breakdown

Review Payroll Audit Log

Go to HR → Payroll Audit tab to view each payroll run's ledger mapping, double-count checks, and balance sheet impact. Helps verify no duplicate runs exist for the same period

6. Subscription Management

Choose Your Plan

Go to Subscription (in the sidebar, visible to workspace owners). Compare Seed (free), Bloom, and Enterprise plans. Start with the 33-day free trial on Bloom

Manage Your Subscription

Workspace owners can upgrade, pause (seasonal pause), or manage billing from the Subscription page. Apply promo codes for discounts

Billing History

View past invoices and payment history from the Billing History page

💡 Pro Tips for Smooth Setup
  • Use 'Standard Accounts Setup' in Finance → Accounts for instant Chart of Accounts creation
  • Import data via CSV if migrating from another system (available in most modules)
  • Start with one field and one crop to learn the workflow before adding everything
  • Invite your accountant first - they can help with Chart of Accounts structure
  • Set realistic reorder points for inventory (2-3 weeks of typical usage)
  • Create seasons for the current year and next year for planning
  • Link every inventory item to both asset account (value) and expense account (consumption)
  • Configure notification preferences early in Admin → Config to avoid alert overload
  • Use the Dashboard Customizer to show only the widgets relevant to your role
